Privacy Policy

This Privacy Policy explains how the Gauteng East Traditional Council (GETC) collects, uses, stores and protects personal information when you use this website, contact GETC, apply for membership, respond to opportunities, register interest in activities or otherwise interact with GETC online.

For privacy questions, access, corrections, deletion requests or marketing withdrawals, email info@getc.co.za. You may also contact GETC at its listed office at 10377 Sefofane Street, Vosloorus Extension 14, Johannesburg, 1475. Include a relevant reference if you have one. Please do not send identity documents or sensitive information unless GETC has explained why they are needed and arranged a suitable way to receive them.

Information we may collect

The information collected depends on the service you use. It can include your name, contact details, messages, application information, CV, booking details and the consent choices you make. Membership applications also request date of birth and location details. Each form indicates which fields are required. Technical information such as request logs, IP addresses and temporary cookies may be processed to operate the website and protect forms from misuse.

How we use personal information

GETC uses personal information to respond to you, assess applications, administer membership, arrange event bookings, provide related services and communications, keep appropriate records and protect its website and systems. GETC aims to collect only what is needed for the stated purpose. Please avoid including unnecessary sensitive information in messages or uploaded documents.

Marketing communications

Submitting an enquiry, application or booking does not by itself opt you into marketing. Marketing permission is optional. You may withdraw it through an unsubscribe link where provided or by emailing info@getc.co.za with the subject “Stop marketing”. Withdrawing marketing permission does not cancel membership or prevent necessary service communications.

Who may process your information

Authorised staff and service providers may process information where needed to deliver a service, host the website, manage communications, maintain systems or keep backups. Some provider processing may take place outside South Africa. Links to external application, payment or other services lead to services with their own privacy notices, which should be reviewed before personal information is provided there.

How long information is kept

Information is kept for as long as reasonably needed for its purpose and applicable record-keeping requirements, then reviewed for deletion or anonymisation. Retention can differ for enquiries, career applications, event bookings and membership records. Contact GETC for details about a particular record.

For the online membership register, pending applications expire 12 months after submission and declined applications expire 12 months after the last review. Their personal details are cleared by the website’s scheduled cleanup. Approved member records are retained while needed to administer membership and reviewed when membership ends or a deletion request is received. Downloaded lists, mailboxes and backups require separate management because website cleanup does not erase those copies.

Children and online membership

The online membership application is currently for adults aged 18 or over while GETC considers its youth membership process. This does not set an age rule for every GETC activity. For enquiries involving a child, first contact info@getc.co.za without sending the child’s personal information so that GETC can explain the appropriate process.

Security

The website uses access controls and form checks to reduce unauthorised access and misuse. Some forms use temporary cookies or request identifiers to operate correctly. No online system can guarantee absolute security. Tell GETC promptly if you suspect misuse of your information.

Your rights and requests

Subject to applicable requirements, you may request access to or correction of your personal information, request deletion, object to relevant processing, or withdraw consent. GETC may need to verify your identity before disclosing or changing records. Contact info@getc.co.za for assistance. You may also raise a complaint with South Africa’s Information Regulator.

Changes to this policy

GETC may update this Privacy Policy when its services, processes, providers or legal requirements change. The current version and effective date will be published on this page.
